DRAFT — template for review. Not legal advice; have counsel review before publishing.

1. Purpose, Scope, and Who This Applies To

This Acceptable Use Policy (the "AUP") describes the rules for using Libertas Linkand its related websites, applications, and APIs (collectively, the "Service"), operated by Libertas Link. The Service is an AI assistant that lets a business upload its own documents and receive cited answers and drafted replies grounded in that material.

This AUP applies to every "Customer" (the business that subscribes to the Service) and to every "Authorized User" (any individual the Customer permits to access its workspace, such as employees, owners, and contractors). The Customer is responsible for ensuring that all of its Authorized Users understand and comply with this AUP. References to "you" mean the Customer and its Authorized Users.

2. Incorporation by Reference

This AUP is incorporated by reference into, and forms part of, the Terms of Use that govern your use of the Service. Capitalized terms not defined here have the meanings given to them in the Terms of Use. If there is any conflict between this AUP and the Terms of Use, the Terms of Use control unless the conflicting provision expressly states otherwise. By accessing or using the Service, you agree to be bound by this AUP.

3. Permitted Use

The Service is licensed for your internal business use. You may use it to upload, organize, and search your own business documents and to generate AI answers and draft replies grounded in that material, subject to your subscription plan and applicable usage limits.

  • Use the Service only for lawful business purposes within your organization.
  • Upload only content that you own or are otherwise authorized to process through the Service.
  • Stay within the seats, storage, query volumes, and other limits of your plan.
  • Comply with all applicable U.S. federal, state, and local laws and regulations.

4. Prohibited Content and Data

You must not upload, store, transmit, or process any of the following through the Service:

  • Content that is illegal, infringing, defamatory, obscene, or that violates the intellectual property, privacy, or other rights of any third party.
  • Protected Health Information (PHI) or any records regulated under HIPAA. The Service is not designed for, and Libertas Link does not act as a business associate for, regulated health data. Uploading PHI or HIPAA-regulated records is strictly prohibited.
  • Other prohibited regulated data, including payment card data subject to PCI DSS (such as full card numbers), government-issued identifiers used for identity verification, biometric identifiers, children's personal information subject to COPPA, or data subject to export controls or classified-information rules.
  • Sensitive personal information of others that you are not authorized to process, or any data whose handling would require safeguards the Service does not provide.
  • Malicious code, or content designed to disrupt, damage, or gain unauthorized access to any system or data.

Customer data is hosted in the United States. You are solely responsible for confirming that the content you upload is appropriate for a U.S.-based, non-regulated processing environment before submitting it.

5. Prohibited Conduct

In connection with the Service, you must not:

  • Access or attempt to access any account, workspace, or data that does not belong to you.
  • Scrape, crawl, harvest, or otherwise extract data from the Service by automated means except through interfaces we expressly provide.
  • Reverse engineer, decompile, or disassemble any part of the Service, or attempt to derive its source code or underlying models.
  • Circumvent, disable, or interfere with any security, authentication, or access-control feature.
  • Introduce malware, viruses, or other harmful code, or use the Service to deliver such code to others.
  • Abuse rate limits, overload the infrastructure, or conduct denial-of-service or unauthorized load-testing activity.
  • Resell, sublicense, rent, or otherwise make the Service available to third parties, or operate a service bureau, except as expressly permitted in writing.

6. AI-Specific Misuse Rules

The Service generates AI output ("Output") based on the documents and prompts you provide. Output may be inaccurate, incomplete, or out of date, and Libertas Link does not use your content to train its foundation models. When using the AI features, you must not:

  • Rely on Output for unlawful purposes, or for high-risk decisions (such as legal, medical, financial, employment, or safety decisions) without meaningful human review by a qualified person.
  • Attempt to access, infer, or extract another Customer's data, the Service's confidential prompts, or model internals through prompts or other manipulation.
  • Submit prompts intended to generate prohibited, illegal, harmful, harassing, or deceptive content, or to bypass the Service's safeguards.
  • Present Output as professional advice, or as the verified work product of a licensed professional, without appropriate human verification and disclosure.

7. Security and Credential Obligations

You are responsible for safeguarding the credentials used to access the Service, including credentials issued through our authentication provider. You must:

  • Keep login credentials, session tokens, and API keys confidential and limit access to authorized individuals.
  • Use strong, unique passwords and enable available account-protection features.
  • Promptly disable access for individuals who are no longer authorized.
  • Notify us without undue delay at support@libertaslink.com if you suspect any unauthorized access, credential compromise, or security incident, and reasonably cooperate with our investigation.

If you discover a security vulnerability in the Service, please report it responsibly to support@libertaslink.com and refrain from publicly disclosing it until we have had a reasonable opportunity to remediate it.

8. Multi-Tenant Integrity

The Service is a multi-tenant platform in which many Customers share underlying infrastructure while their data is logically separated. To protect every tenant, you must not take any action that accesses, probes, tests, or interferes with another tenant's data, the isolation between tenants, or the integrity, availability, or performance of the shared platform. This includes any attempt to enumerate accounts, bypass tenant boundaries, or exploit shared resources.

9. Monitoring and Enforcement

We do not routinely review the content you upload, and we do not use your content to train foundation models. However, we reserve the right (but assume no obligation) to monitor use of the Service, review content where we have a good-faith reason to do so, and investigate suspected violations of this AUP, in order to operate the Service, maintain security, and comply with law. We may use automated systems and operational logs as part of this monitoring, consistent with our Privacy Policy.

10. Consequences of Violation

If we determine, in our reasonable discretion, that you have violated this AUP, we may take any of the following actions, with or without prior notice depending on the severity of the violation:

  • Remove, disable, or quarantine offending content or data.
  • Throttle, suspend, or restrict access to all or part of the Service.
  • Terminate the affected account or the Customer's subscription in accordance with the Terms of Use.
  • Preserve relevant records and cooperate with law enforcement or other authorities where legally required or appropriate.

Where practical and lawful, we will aim to notify you of an enforcement action and, for less severe issues, give you an opportunity to remedy the violation. Suspension or termination does not relieve you of fees already incurred and does not entitle you to a refund except as stated in the Terms of Use.

11. Reporting Abuse and Contact

If you become aware of any use of the Service that violates this AUP, or of content that is illegal, infringing, or otherwise harmful, please report it to us so we can investigate:

12. Changes to This AUP

We may update this AUP from time to time to reflect changes in the Service, our practices, or applicable law. We will post the updated AUP on this page and revise the "Last updated" date below. For material changes, we will use reasonable efforts to notify Customers in advance. Your continued use of the Service after an update takes effect constitutes your acceptance of the revised AUP.
